Miles & Stockbridge P.C. is seeking an experience Recruitment and Diversity Assistant.
The Recruitment & Diversity Assistant is responsible for supporting the Director of Diversity and the Director of Professional Development. Duties relating to Recruitment will include the recruiting and hiring of summer associates, entry-level associates, and lateral lawyers for all firm offices. The Assistant will also provide support of the firm’s diversity programs. Under the guidance of department management, the assistant should be able to work independently and prioritize their workload while working in a fast-paced environment.
ESSENTIAL DUTIES & RESPONSIBILITES:
Provide broad administrative support for the department by answering telephones; maintaining supplies and marketing materials; generating correspondence; creating/updating forms and various documents (contact list, charts, calendars, budget spreadsheets, etc.); maintaining department calendar and files; opening and processing department mail.
Maintain various aspects of the recruitment process, such as entering resumes and updating candidate data in recruiting database (LawCruit) to ensure integrity of information; generating candidate correspondence; maintaining applicant files; preparing interview materials for in-house and on-campus interviews; tracking and processing applicant expenses; communicating status of applications with candidates; ensuring candidates are entered into internal security database (Workspeed).
Support the legal personnel function by responding to request from various attorneys and departments.
Organize internal events, including creating/distributing nametags, invitations, and partnering with hostess.
Process reimbursements and payment of all fees relating to recruitment, diversity sponsorships, travel, etc.
Collection and maintenance of diversity and recruitment statistics and partner with marketing on same.
Supports the Director of Diversity with administrative tasks as needed in support of the firms diversity initiatives.
Handle additional daily administrative task as requested.
Summer Associate Program and student/lawyer Recruitment
Assist with various aspects of the summer associate program; coordinating candidate travel; assisting with preparation of arrival and departure materials; organizing evaluation files; in-house training programs; preparing nametags; maintaining RSVP lists; coordinating menus with vendors, marketing department, and hostess department; assisting with on-site and off-site event planning as requested.
Assist with registration for on-campus programs including organizing all on-campus materials (including marketing materials); maintaining/updating on-campus recruiting calendar; confirming on-campus related activities; scheduling call-back interviews with students; greeting and escorting candidates at the firm.
Calendar and schedule candidate interviews.
Greet and escort candidates.
Assists in the maintenance of status of offers; drafts letters and prepares all new hire paperwork; coordinates onboarding of new hires with internal departments.
Update status of application in LawCruit system; run reports as necessary.
Enter conflicts information into Intapp Open System.
Assist with coordinating room reservations, materials, RSVP lists, name tags, coordinating menus, event planning as requested.
Assist with reimbursements for vendors.
Communicate with presenters as needed.
QUALIFICATIONS & REQUIRED SKILLS

Possess excellent organizational skills
Excellent computer skills with proficiency in Word, Excel, PowerPoint.
Strong oral and written communication skills

College degree preferred; two or more years of related work experience in a law firm or law school career service environment

Miles & Stockbridge supports diversity and inclusion in a multitude of ways. We intentionally seek to increase the number of lawyers of color, women and LGBT lawyers and foster their professional and leadership development. In addition to our diverse board of directors, many other women and lawyers of color are in leadership positions and are members of our firm’s key internal committees. Our firm supports three active affinity groups—one for women lawyers, one for lawyers of color, and one for our Jewish lawyers and colleagues. We are in the process of forming an affinity group for our LGBT lawyers.
Making Miles & Stockbridge more diverse is a key strategic objective. In 2015, our firm implemented a policy requiring that we interview at least one woman, minority or LGBT lawyer for each open position. Since 2015, Miles & Stockbridge has hired a total of 50 lawyers and patent agents, 21 of whom were diverse, and 26 of whom were women. Client Visit Program
Miles & Stockbridge conducts a formal client visitation program where lawyers in our firm regularly visit our clients at their place of business to learn about their business and to uncover opportunities. We have prepared materials and conducted training programs designed to enable our lawyers to make the most of these visits.
Client Satisfaction Interview Program
We conduct a formal client satisfaction interview program where our firm’s chairman and chief marketing officer personally interview firm clients each year to assess their satisfaction with Miles & Stockbridge. Washington, DC Office and I-270 Corridor
Our firm’s focused growth at this time is in Washington, D.C. and along the I-270 corridor (Rockville, Northern Virginia and Frederick). We opened a Washington, D.C. office in February 2012 and have more than doubled the size of that office with 68 lawyers in the metro DC region. Lawyers in the D.C. region focus on matters pertaining to finance and capital markets, real estate, manufacturing and distribution, and specific lawyer strengths related to the region, including government contracts, intellectual property, education, white collar criminal defense, the Consumer Product Safety Commission, and the 1980 Hague Convention on the Civil Aspects of International Child Abduction.
